These terms constitute the entire agreement between you and Evolve X. By booking with Evolve X, you agree to abide by these terms and conditions.

These terms and conditions are governed by the laws of New Zealand, Australia, and any other applicable jurisdictions, with the parties submitting to the non-exclusive jurisdiction of the relevant courts.

1. Eligibility and Booking

Bookings can be made directly through our website or by contacting us. To secure your reservation, full payment or a deposit is required. Upon booking, you confirm that all details provided are accurate and agree to comply with these terms and conditions, this applies for all Evolve X Products.

2. Passports, Visas & Travel Requirements

For travel products, It is the participant's responsibility to hold a valid passport (with a minimum of six months' validity) and any required visas for travel. Evolve X will not be held liable for travel interruptions due to passport or visa issues. All travel-related costs, including visa application fees, are the responsibility of the participant.

3. COVID-19 and Health Requirements

We advise participants to stay updated with local COVID-19 guidelines and travel restrictions, which may include mandatory testing or quarantine requirements. Evolve X is not liable for costs or disruptions related to changing COVID-19 travel guidelines.

4. Payment Terms

To confirm your booking, a deposit of [amount as detailed on product page] is required by the specified early bird deadline. Full payment must be received by [final payment date as per product]. Payments made after the deadline will be charged at the standard rate. By completing payment, you confirm that you have read, understood, and accepted these terms.

5. Cancellation Policy

Deposit Refunds: Deposits are fully refundable within 28 days of booking confirmation provided it is not 28 days before the event or experience.

Transfer of Booking: Bookings can be transferred to another individual up to [date], free of charge. Transfers after this date will incur a service fee of $200.

Cancellation Fees: Cancellations within 30 days of payment may be eligible for a partial refund based on our discretion and your travel insurance coverage.

Evolve X strongly recommends participants obtain travel insurance covering cancellation costs, most travel insurance will cover any unforseen circumstances.

If an online program is rescheduled or shifted, we will ensure several options are offered.

6. Changes and Amendments

Modifications to your booking after the final payment date will incur an administrative fee of $100 per person, plus any additional fees imposed by third-party providers.

Amendments requested within 48 hours of departure will incur a $200 fee. All changes are subject to availability and approval by Evolve X.

7. Pricing

Prices listed are valid from [price start date] to [price end date] and are quoted in [currency]. Prices include all services specified on the website, such as accommodation, meals, scheduled workshops, and activities. Prices do not include personal expenses, transportation to/from the retreat, travel insurance, or additional third-party services.

8. Inclusions and Exclusions

The price of your package includes:

Accommodation as specified, Meals as stated on the website, Access to speakers and workshops, Wellness and fitness sessions as specified

The following are not included:

Travel to/from the retreat location (unless specified) Optional activities or personal expenses (e.g., spa treatments)

Travel insurance and visa fees

9. Luggage and Personal Belongings

Evolve X is not responsible for any loss or theft of personal items. We recommend securing appropriate travel insurance for personal belongings and valuables.

10. Insurance

It is mandatory for participants to have comprehensive travel insurance covering health, trip cancellation, and personal belongings. Evidence of travel insurance must be provided upon request. Participants acknowledge that Evolve X is not liable for injuries, medical costs, or evacuation expenses.

11. Conduct and Behavior

Participants are expected to maintain respectful behavior. Evolve X has a zero-tolerance policy for harassment, illegal drug use, abusive behavior, and property damage. Failure to adhere to the code of conduct may result in removal from the retreat without refund, and the participant will be responsible for any additional costs incurred.

12. Photography and Media

By attending Evolve X events, you consent to being photographed or recorded. Evolve X may use photos or videos taken at events for promotional purposes across various media platforms. If you do not wish to appear in media, please inform us in writing before the event.

13. Health, Fitness & Medical

All participants must be in good health and are responsible for managing any medical conditions during the retreat. Evolve X reserves the right to require a medical certificate for any participant if deemed necessary. Any participant with a medical condition requiring special assistance must arrange for a carer at their own expense.

14. Third-Party Providers and Limitations of Liability

Evolve X collaborates with third-party providers to deliver certain services (e.g., excursions). While we strive to work with reputable providers, Evolve X is not liable for the actions, services, or omissions of third parties. Participants partake in third-party activities at their own risk.

15. Force Majeure

Evolve X will not be held liable for cancellations, delays, or modifications due to circumstances beyond its control, including natural disasters, pandemics, political unrest, or governmental regulations. In such cases, retreat fees may be credited towards a future event, as per Evolve X’s discretion.

16. Accuracy of Information

Evolve X strives to ensure all information on its website, social media, and published materials is accurate. However, pricing and services are subject to change without notice. Please verify details upon booking.

17. Dispute Resolution

If a participant is dissatisfied with any aspect of the retreat, they must notify Evolve X or event staff immediately to allow for prompt resolution. Any unresolved disputes must be submitted in writing within 28 days of the retreat’s conclusion.

18. Privacy

Evolve X respects your privacy and is committed to safeguarding your personal information. Personal data collected is used solely for retreat logistics, communication, and relevant marketing with your consent. Refer to our Privacy Policy here for further details.
